Terms and Conditions

At Sophie French Tutor, we are dedicated to our student's learning. We adapt to their individual needs by designing lessons adapted to their goals and being flexible and adaptable.

1/ Lesson scheduling

Days and times for lessons are agreed upon and scheduled by the teacher and student, either on a regular or week-to-week basis. The next lesson is confirmed at the end of each session.

Lessons take place at the previously agreed day and time. Please let us know as soon as possible if you are unable to attend, as there may be an opportunity to reschedule.

2/ Lesson confirmation

Lesson reminders are sent automatically via our scheduling system the day before each lesson.

An acknowledgement from the student (or parent/guardian for school-aged students) is appreciated.

3/ Student cancellation policy

Cancellations twenty-four hours (24h) or less prior to the booked date and time, will be charged in full.

Depending on availability, the teacher may be able to reschedule the lesson within the same week at no cost. However, this is not guaranteed.

The cancellation policy applies to all lesson types : trial lessons, packages and casual sessions.

4/ Teacher cancellation policy

The teacher may occasionally need to cancel or reschedule a lesson due to personal schedule and leave. In this case, a replacement teacher can be arranged if the student wishes to maintain their lesson.

5/ Payment policy

Payment is required at least forty-eight hours (48h)  before the beginning of each lesson.

Payments are made by bank transfer only. Please use the bank account details provided in your invoice and include the student's name as the payment reference.

A tax invoice can be provided on request.

6/ Package Expiry

Packages must be used within the following timeframes from the date of purchase:

10-hour / 10-session packages: within 6 months

5-hour / 5-session packages: within 3 months

Unused sessions that have not been scheduled or completed by the expiry date will be forfeited. If you need to pause due to exceptional circumstances, please contact us to discuss options.

7/ Package Refunds

If you need to stop lessons after purchasing a package, a partial refund may be issued for unused sessions, minus any sessions already completed at the casual rate. Please contact us to discuss your situation.

9/ Shared lesson policy

Definition (shared booking): A “two-student lesson” is one booking slot reserved for two students. If only one student attends, the lesson may still go ahead as a 1:1 lesson, and the policies below apply.

1) Payment options (invoices)

You can choose either:

  • Two separate invoices: one invoice per family (each family pays their share), or

  • One invoice: issued to one parent/guardian, who is responsible for payment (and can organise the split privately if they wish).

2) Cancellations / changes (2-student lesson)

  • If one student cancels with more than 24 hours’ notice: the lesson can still go ahead as a 1:1 lesson for the attending student and will be charged at the regular 1:1 rate.

  • If one student cancels late (24 hours or less), or does not attend (no-show): the cancelling/no-show student will be charged in full (as per the standard cancellation policy). The lesson may still go ahead with the attending student.

3) Rescheduling

Rescheduling a two-student lesson requires both students’ availability and is subject to the teacher’s availability. Rescheduling is not guaranteed. If only one student is available, the session may proceed as a 1:1 lesson (charged at the regular 1:1 rate).

4) Packages (shared package)

If you purchase a shared package for two students and one student stops attending, the remaining lessons will convert to 1:1 lessons at the regular 1:1 rate for the continuing student (until the credit is used).

5) Communication / scheduling contact

For school-aged students, scheduling changes must be made by the parent/guardian contact. Please ensure each family provides one main contact email address (or nominate one primary contact for both families if preferred).

10/ Minors and Parental Responsibility

For school-aged students, a parent or guardian is responsible for scheduling communications, payment, and adherence to these terms and conditions. Please ensure we have one main contact email address per family on file.
